AI agents are moving from experiments into everyday operations. For SMEs, the right first step is small, measurable and close to a real process.
Over the past year, AI has moved from answering questions to completing work. Agents are software that can understand a task, use the tools a team already works with and finish a piece of work within rules that people set. Organisations are beginning to use them in daily operations, not only in pilots.
Why it matters for SMEs, startups and research organisations
Smaller organisations feel the cost of repetitive work most. Copying data between systems, chasing approvals, answering the same requests and preparing recurring reports take hours every week from people whose time is scarce. These costs rarely show up on a balance sheet, but they slow growth and keep skilled people away from the work that matters.
At the same time, the rules are becoming clearer. The EU AI Act entered into force in August 2024 and its obligations apply in phases. In July 2026 the AI Omnibus adjusted the timetable: the main obligations for high-risk systems now apply from December 2027, or from August 2028 for AI embedded in regulated products. Organisations that design human oversight, access controls and data protection into their first agents will scale them with far less friction later.
What to do about it
Start with one process, not a strategy deck. Choose a task that is frequent, rule-based and easy to measure, such as classifying incoming requests or assembling a weekly report. Record how long it takes today, so you can compare honestly afterwards.
Keep people in control of the decisions that count. A good first agent drafts, collects and prepares; a person reviews and approves. Connect it to the tools your team already uses, rather than adding another platform.
Then measure, adjust and only then expand. Once one agent saves time reliably, a second can take its output as input. That is how a coordinated system of agents grows, step by step, without disrupting the business.
